Identify the body, lens and accessories as separate facts
Record the make, model, relevant serial identifier, reported symptom and every accessory left with the shop. Note whether the item is a body, lens, flash or another component. Intake photos can document visible condition, but captions should remain factual and customer-appropriate when shared.
Never place memory-card contents, account credentials or unrelated personal information in a customer message or public spreadsheet. BenchPing is a communication and repair-tracking tool, not a data-recovery or remote-diagnostics platform.
- Stable repair reference

Separate diagnosis, approval, repair and testing
A useful camera workflow distinguishes the customer’s symptom from confirmed findings. Use stages such as Received, Diagnosis, Awaiting approval, Waiting for parts, In repair, Testing and Ready for pickup. A Testing stage prevents the shop from promising collection before autofocus, shutter, sensor or lens checks are complete.
If the item goes to an outside specialist, keep the customer timeline active and describe the handoff without publishing internal supplier details that are not useful to the customer.
| Stage | Customer-facing meaning | Next decision |
|---|---|---|
| Diagnosis | The reported fault is being reproduced and assessed | Prepare findings and estimate |
| Awaiting approval | The scope and price need a decision | Customer approves or declines |
| Waiting for parts | Required component is not yet available | Update when the part or schedule is confirmed |
| In repair | Approved technical work is underway | Move to testing |
| Testing | Post-repair checks are in progress | Pass checks or return to repair |
| Ready for pickup | Final checks passed | Collect or arrange return |
Use the tracking page for detail and notifications for change
Send a concise notification when the stage, estimate or timing materially changes. Put longer findings, shared photos and the ongoing conversation on the customer tracking page. When a customer does not respond, inspect delivery history before assuming the message was ignored.
BenchPing does not manage camera-parts inventory, technician calibration procedures, shipping insurance, invoicing or payment. Keep those controls in the systems that own them and use one reference across tools.
Adapt repair status message templatesCommon questions
Can a camera shop attach intake and progress photos?
BenchPing supports customer-visible repair media. Upload only material intended for the customer and keep sensitive or purely operational details in internal notes.
Should testing be a separate camera repair status?
Yes when post-repair checks affect readiness. A separate stage prevents a customer from treating finished bench work as permission to collect before final verification.
Does BenchPing manage camera parts or calibration data?
No. It focuses on the repair queue, estimates, customer status and communication rather than inventory or technical calibration records.
