Tie the repair to the customer's asset and commercial reference

Use one repair reference per received unit and record the equipment type, manufacturer, model, relevant serial identifier, reported failure, customer asset reference and purchase-order or RMA reference when appropriate. Record included connectors, modules or accessories individually.

Do not put confidential production data, credentials, site access details or proprietary schematics in a customer-facing update. Keep technician findings, measurements and supplier information in internal notes or the specialist engineering record.

Make evaluation, authorization and parts sourcing distinct

Use stages such as Received, Evaluation, Quote issued, Awaiting authorization, Parts sourcing, Repair in progress, Functional testing and Ready to dispatch. This makes it clear whether the workshop, customer or supplier owns the next action.

When the scope changes, issue an updated estimate and obtain a recorded decision before continuing beyond authorization. If component sourcing is uncertain, state the next supplier-review checkpoint rather than publishing a completion date that cannot be supported.

Sample update: Evaluation is complete and the quote has been revised to include the damaged power-stage components. Please approve or decline the updated amount. After approval, the next update will follow parts confirmation.

Communicate testing and dispatch without making certification claims

Use Functional testing or Burn-in only when those labels match the workshop's actual process. Describe progress factually and avoid implying regulatory certification, production suitability or safety approval that the shop has not formally provided.

Yes. A service workshop can identify the unit, manage the repair stage and communicate estimates and progress. BenchPing does not perform diagnostics or certification.

Can a business customer use its own asset or PO reference?

The workshop can include customer-appropriate references in the repair record so both sides can identify the job. Commercial source documents should remain in the system responsible for them.

Does BenchPing provide chain of custody or compliance records?

No. Organizations with regulated custody, calibration or certification requirements must use approved specialist controls alongside BenchPing.
