Show the status, context and next decision
The page displays the workshop name, job reference, item, current customer-facing status, latest update, estimate and expected completion when those fields are available. It also shows the repair timeline and conversation attached to that job. Internal notes stay in the workshop record.
A status label by itself is rarely enough. Waiting for parts becomes useful when the note explains which part is outstanding and when the shop expects to know more. Awaiting approval should make the estimate and the customer’s decision clear. Ready for pickup should include practical collection instructions.
Example, not a customer resultSample update: We completed the diagnosis and sent an estimate for the replacement part. No additional work will begin until you approve it on this page.
Let customers open the page without an account
The customer does not need to install an app or remember a password. They open the unique link from an email or SMS and see the current customer-facing record. This removes a common barrier for occasional repair customers.
Anyone holding the unique link can view that record and conversation. Send it only to the intended customer, avoid sensitive information in customer-facing notes, and never put device passwords or unlock codes on the page.
- Use a separate tracking link for each job.
- Keep private workshop context in internal notes.
- Do not paste tracking links into public posts or shared documents.
- Use the shop inbox to keep each question attached to the correct repair.
Keep questions attached to the repair
The customer can send a message from the tracking page. It appears in the shop inbox and is copied to the shop by email. When the shop replies from BenchPing, the customer receives an email copy. Both sides can notice a reply without leaving the page open.
This works well for repair-specific questions such as confirming requested work, asking about collection time or explaining a parts delay. It is not an emergency-support channel or a safe place for highly sensitive information.
Use clear repair update templatesTest the complete customer view before going live
Create a repair using contact details you control. Check the wording on a phone, confirm the estimate and target date, open the link, send a customer message and reply from the shop inbox. Then inspect delivery history instead of assuming the email or text arrived.
When a shop changes the job status in BenchPing—or a connected sheet is read on its configured schedule—the tracking page reflects the current record. Email, SMS or both can be sent according to the selected channels and available coverage.
