Record the watch, not just the owner’s name

Two similar watches at the counter can have very different instructions. Record the reference, visible condition, bracelet or strap, supplied links, box and paperwork, and the customer’s description of the fault. Where appropriate, photograph the received condition and link those images to the job. Do not describe a cosmetic inspection as an authentication or valuation.

Ask which work is authorized now: assessment only, a battery service, an estimate for an overhaul or a specific adjustment. Keep the customer’s requested work separate from the technician’s findings. A request to check water resistance is not a test result; only communicate results your workshop actually obtained.

  • One job reference on the tray, envelope and digital record.
  • Document supplied accessories and any visible marks before moving the watch to the bench.
  • Keep identifying or sensitive details out of routine text messages.

Separate bench time from waiting time

A watch may spend days awaiting assessment, parts or a specialist rather than being actively worked on. A single “in progress” label hides that distinction. Use the current status plus a concise customer note to explain what is blocking the next step.

An example sequence is received → assessment → estimate awaiting approval → parts or specialist → service → testing → ready for collection. These are workflow suggestions, not a claim that BenchPing provides watch-specific automated statuses or manufacturer integration. If a part date is unconfirmed, give a next update date instead of inventing a completion date.

Three messages for a slow-moving service

Replace the bracketed details and check them before sending. Do not include a resale value or unsupported water-resistance claim in a routine update.

  • Assessment complete: “We have assessed your watch. The proposed work is [scope] for [amount]. Please review the estimate before we proceed.”
  • Parts delay: “We are waiting for [part]. The supplier has not confirmed arrival. We will update you again on [date], even if the position has not changed.”
  • Collection: “Your watch is ready for collection. Please bring your job reference [reference]. We will explain the completed work and any care instructions at handover.”

Keep the envelope useful after the job is digital

A digital record should strengthen the physical handoff, not erase it. Put the same reference on the envelope or tray, maintain a controlled storage location and record the return of supplied accessories. BenchPing is not a vault ledger, insurance valuation system or formal custody certification tool.

Before closing a job, confirm that the correct item and accessories were handed back and that the customer-facing summary describes the work actually performed. Keep any warranty or servicing terms in the workshop’s own reviewed documents.

Try the workflow before moving your whole queue

Create one example job and use your own email address as the customer contact. Send an update, open the tracking page and reply. Check which information appears to the customer and keep internal notes separate. Tracking links work without a customer login: anyone holding the link can see that customer-facing record, so do not publish it.

Then enter a few current jobs. Keep your original records while checking references, estimates and contact details. CSV or XLSX file import is a one-time import, not continuous synchronization; review mappings before confirming it. A connected public spreadsheet is a different workflow and requires an accessible source. Never publish a spreadsheet containing information that should remain private.

No. BenchPing tracks the job and customer communication. Diagnosis, testing, certification and service advice remain with the qualified workshop.
