Identify the phone without exposing customer credentials
Create one repair reference per visit and record the manufacturer, model, colour, reported issue, visible condition and accessories left at the counter. Record a serial or device identifier only when the shop genuinely needs it, and avoid displaying a complete identifier in customer-facing notes.
Do not place passcodes, account passwords, recovery codes, payment details or unrelated personal information in messages, public spreadsheets or the customer status summary. Use the shop's approved secure process when device access is required for diagnosis or testing.

Separate diagnosis, approval, parts and quality control
Use stages such as Checked in, Diagnosing, Awaiting approval, Waiting for parts, Repair in progress, Quality check and Ready for pickup. A phone waiting for a customer decision or replacement screen should not look like active bench work.
When the diagnosis changes the proposed price, update the estimate and ask for a recorded approve or decline decision before proceeding beyond the shop's authorization. If a part is delayed, replace an outdated completion promise with the next supplier or workshop checkpoint.

Complete the quality check before sending the pickup alert
Keep the repair in Quality check while the shop performs the tests appropriate to the completed work. Move it to Ready for pickup only after those checks are complete, then include the repair reference, collection hours and any customer-facing handoff note.
