Pickup reminder guide

Turn finished repairs into clear, timely collections.

A finished repair still occupies shelf space until the customer collects it. A good pickup process starts with an accurate Ready for pickup status, confirms notification delivery and follows a consistent reminder schedule without sending the same vague message every day.

Mark ready only after the final check

Use Ready for pickup after the work and final check are complete. If payment, reassembly or quality control is still outstanding, use a status that reflects the real stage. Premature messages create wasted trips.

Include collection location, opening hours or appointment requirements when those details prevent another call. Keep the reference in the message so counter staff can find the job quickly.

Example, not a customer result

Sample message: Your repair BP-2041 is ready for collection at 18 Cedar Street, Monday–Friday 9:00–17:30. If you need another time, message us through your tracking page.

Check delivery before assuming the customer ignored it

Open delivery history when an item remains uncollected. A failed email or invalid number needs corrected contact information, not another retry to the same bad destination.

Email updates are included with every plan. Prepaid SMS currently supports Canadian recipients only. When both channels are selected, keep the core instructions consistent.

Understand SMS delivery and credits

Choose a reminder schedule your shop can defend

Send the initial ready notification, then allow a reasonable collection window before reminding. The right interval depends on opening hours, storage limits and customer expectations. Avoid daily reminders unless the customer requested them.

BenchPing can surface pickup and stale-repair reminders as prompts for staff judgment, especially when a customer already replied or arranged a date.

  • Initial message: confirm it is actually ready.
  • First reminder: repeat collection details.
  • Later follow-up: ask the customer to arrange a plan.
  • Stop reminders when collection is scheduled or completed.

Document long-uncollected items consistently

Keep a dated record of messages, delivery results and replies. If the shop uses storage fees, abandonment terms or disposal procedures, disclose them appropriately and follow applicable agreements and laws. Do not invent a deadline that was never agreed.

BenchPing records communication but does not determine ownership, lien, storage or abandonment rights. Obtain local professional advice before adopting a policy that charges fees or disposes of property.
