Describe the item, condition and requested result precisely
Create one reference per service visit and identify each shoe, boot, bag, belt or leather item included. Record colour, material, visible condition, requested work and removable accessories such as laces, straps, buckles, insoles or dust bags.
Use factual intake photos when they help document condition or confirm an agreed colour and finish. Keep internal technique and supplier notes separate from the customer-facing summary.

Record material or scope decisions before work begins
Use stages such as Received, Assessment, Awaiting approval, Waiting for materials, In repair, Finishing and Ready for pickup. If the original material or colour is unavailable, update the proposed option and obtain a clear decision before substitution.
A changed estimate or example photo is not automatically authorization. Keep the customer's approve or decline action attached to the repair so another staff member can understand the agreed scope.

Complete finishing before announcing collection
Keep the item in Finishing while adhesives cure, colour work settles or final inspection is incomplete. Move it to Ready for pickup only when the shop's process is complete, then include collection hours and the repair reference.
