A copyable intake checklist for pairs, material choices and approved work, so the right shoes or leather item return with the right instructions.

Identify the pair and the work on each item

Record item type, colour, distinguishing details and whether one or both pieces require work. “Heel repair” may mean something different on the left and right shoe. Put the same reference on the physical pair and the job record.

For bags or other leather items, describe the relevant component and any supplied strap or accessory. Photograph the relevant received condition if appropriate. A visible-condition note is not a prediction about how an aged material will behave during repair.

This checklist is an operational starting point, not a liability waiver or contract. Review your service terms separately for the work and jurisdiction.

  • Reference: [stable job number].
  • Customer and agreed contact: [name / permitted channel].
  • Item and quantity: [pair / single item / bag / other].
  • Received condition: [observations and any linked photos].
  • Requested work: [left / right / both / component].
  • Material or finish choice: [confirmed choice, or decision pending].
  • Approved estimate and scope: [amount / work / approval state].
  • Requested date: [customer preference]. Confirmed date: [only when agreed].
  • Supplied accessories and collection notes: [relevant details].

Record choices before work starts

A sole, heel or patch may have several reasonable options. Explain the actual options your workshop offers and record the customer’s choice with the estimate. Avoid promises such as an exact colour match unless your team can support them.

If assessment changes the work or price, obtain a revised decision before proceeding. Keep the original request distinct from the final approved scope. An informal comment about another issue is not necessarily approval for additional paid work.

Messages for approval, materials and pickup

Send only confirmed information. The following examples can be adapted for email or, where supported and permitted, SMS.

  • Choice needed: “For your [item], we can offer [actual options]. Please reply with your choice so we can confirm the estimate.”
  • Material delay: “The agreed [material] is not yet available. We will update you on [date]; collection is not confirmed yet.”
  • Ready: “Your [pair/item] is ready for collection under reference [reference]. We will explain the completed work at pickup.”

Use consistent units for consumables

Track stock in useful units: individual components as pieces, measurable materials in a chosen length or volume. Do not switch units halfway through a stock history or assume that the application measures material consumption automatically.

Keep customer items out of general shop inventory. They belong to a repair job. At collection, verify that the correct pair and any accessories are returned, and retain records according to the workshop’s reviewed process.
