Use the names and units that fit your business

Create items with a name, optional SKU, category, location, supplier and low-stock threshold. Choose Parts, Supplies, Materials or Products; the catalog is not limited to repair components.

Use pieces, packs, millilitres, litres, grams, kilograms or metres. Quantities support up to three decimal places. Track shampoo in ml, leather in m or replacement screens in pcs. Pick a base unit at setup: BenchPing does not automatically convert packs into pieces or litres into millilitres.

Know the difference between on hand and available

On hand is the physical quantity recorded in your stock. Reserved is the part committed to specific jobs. Available equals on hand minus reserved. On-order quantities are separate: they are not usable until you record their receipt.

Receive stock when it arrives, record consumption, mark a quantity ordered and receive or cancel that order. A stock adjustment requires a reason. Low-stock indicators use the available quantity and your chosen threshold.

Example, not a customer result

Example: 1,000 ml on hand, with 250 ml reserved for a job, leaves 750 ml available. Using the reserved 250 ml reduces both on-hand stock and the reservation; it does not subtract that stock twice.

Reserve now, record usage when the job is done

Open Inventory from a job to reserve an item, use reserved stock, release an unused reservation or consume available stock directly. The job view shows its reserved and used quantities. Stock changes are explicit staff actions, not automatic deductions when a status changes.

Supplier details, stock notes and movement history remain in the signed-in workspace. Inventory actions do not send customer messages or change a job status. Continue to send customer-facing progress updates through the normal job workflow.

Keep a record across web and Android

Both apps use the same inventory records. Each stock movement records the action, quantity, resulting on-hand balance, timestamp, actor and optional note. Job-linked movements retain their job reference. Version checks help prevent an outdated screen overwriting newer stock, and retry identifiers protect a submitted movement from being applied twice.

Archive an unused catalog item instead of deleting its stock history. Clear its remaining stock, reservations and ordered quantity first. Items with stock history keep their original unit to avoid silently changing what previous quantities meant.

Lightweight stock control, not a warehouse suite

Inventory is available in the BenchPing web and Android apps. It is designed for an independent service business that needs clear stock quantities alongside its jobs.

This release does not include barcode scanning, serial or batch tracking, expiry dates, cost valuation, automatic unit conversion, purchase-order documents, supplier integrations, invoicing or checkout. Keep those specialist workflows in your existing systems and choose one source of truth for stock to avoid duplicate entry.
