Record the tool, power source and accessories
Use one reference per service visit. Record the manufacturer, model, identifier when relevant, reported symptom and items left with the tool, such as batteries, chargers, guards, cases or attachments. Keep safety observations factual and do not imply the item is safe before inspection and testing are complete.
Put technician tasks, supplier references and warranty follow-ups in internal notes. Put the next customer expectation in the public note.

Make parts and approval delays explicit
After diagnosis, update the estimate and request approval when the work is not already authorized. If a component is backordered, move the repair to Waiting for parts, replace any outdated target and explain which event will trigger the next update.
Do not use In progress as a catch-all for repairs that are actually blocked. Separate statuses let staff filter the queue and help customers understand whether the shop or an outside decision owns the next step.

Announce collection after testing, not after assembly
Use a Testing or Quality check stage until the shop’s required verification is complete. Then send Ready for pickup with the reference, collection location and hours. If the message fails, correct the destination rather than repeating it unchanged.

Can BenchPing track batteries and chargers left with a tool?
Staff can record accessories in the repair description or internal notes and include customer-appropriate handoff details in the visible summary. BenchPing is not serialized inventory software.
Should testing be visible to the customer?
A visible Testing or Quality check status can prevent premature collection and show that repair assembly is not the final step.
Does BenchPing handle manufacturer warranty claims?
No. It can record the repair status and communications, while warranty decisions and documentation remain in the manufacturer or shop process.
