Create one repair reference and record customer-appropriate vehicle details, the reported damage area and the next administrative or inspection milestone. Keep insurer correspondence, legal documents, payment information and sensitive claim details in the approved estimating or claims system.
Do not promise a completion date before authorization, supplement review and parts availability are understood. Give the customer a next-update date instead.

Use milestones that match the collision workflow
A practical customer timeline may include Estimate or inspection, Awaiting authorization, Parts ordered, Body repair, Paint preparation, Paint, Reassembly, Quality control and Ready for pickup. The labels should describe real work at that shop rather than imitate an insurer or estimating platform.
When hidden damage changes the scope, update the customer after the revised authorization process is underway. When a part is delayed, explain the next confirmed checkpoint without exposing supplier notes that do not help the customer.
