Vacuum repair is a classic drop-off workflow: the machine is checked in, inspected, quoted, repaired, tested and collected. BenchPing gives a small local shop one visible timeline for every machine so customers can check progress without interrupting the bench or front counter.

Identify the machine and every accessory left with it

Create one repair reference for each visit. Record the vacuum type, manufacturer, model, relevant serial identifier, reported symptom and visible condition. List hoses, wands, power heads, chargers, batteries, filters, bins or other accessories separately so the handoff is clear at collection.

Keep the customer's description separate from the technician's findings. At intake, promise the next assessment update rather than a completion date that depends on diagnosis or parts availability.

Show whether the repair is waiting on diagnosis, approval or parts

Use stages such as Received, Assessment, Awaiting approval, Waiting for parts, Repair in progress, Testing and Ready for pickup. A machine waiting for a customer decision or replacement motor should not appear to be active bench work.

When the price or scope becomes clear, update the estimate and request a recorded decision. When a supplier date changes, replace the old completion target and explain the next checkpoint instead of sending another generic In progress message.

Sample update: We found a worn brush-roll bearing and a damaged belt. The proposed total is $92. Please approve or decline through your private tracking page before we order the parts.

Keep testing separate from ready for pickup

Use a Testing stage while the shop performs the checks appropriate to the repair. Move the job to Ready for pickup only after testing is complete, then include the repair reference, collection hours and the accessories that will be returned.

BenchPing tracks queue status, estimates, messages, photos and delivery results. It does not diagnose electrical faults, manage parts inventory, create invoices, take payments or certify product safety.

Common questions

Can a vacuum shop record hoses and attachments at intake?

Yes. Staff can list the accessories left with the machine and keep additional operational details in internal notes. BenchPing is not serialized inventory software.

Can customers check a vacuum repair without creating an account?

Yes. The shop shares a private tracking link. Anyone holding the link can open the customer-facing record, so it should be sent only to the intended customer.

Does BenchPing manage vacuum parts inventory or payments?

No. It focuses on repair status, estimates and communication. Inventory, invoicing, payments and technical testing stay in the shop's existing systems.
