Download the repair estimate template
Use XLSX for calculations or the printable PDF for a counter or mail-in workflow. Enter the tax rate that applies to your shop; the template does not assume a jurisdiction.

Identify the repair reference and item, then separate parts, labor and fees into understandable lines. Record quantity and unit price, a valid-until date and any scope assumptions that affect the decision.
Write the estimate so the customer can decide
Describe the proposed work in plain language. Separate required work from optional recommendations and avoid hiding important scope in a generic line.
Record approval, decline and scope changes
Record the decision, name and date. If diagnosis changes the work or total, keep the earlier estimate and request a new decision for the revised scope.
How to run a repair estimate approval workflowWhen estimates move out of the spreadsheet
A spreadsheet becomes harder to manage when several people revise the scope or customers need a clear online decision. BenchPing can keep the estimate decision with the repair and show the customer a private status page.

Is an estimate the same as a quote?
Shops use the words differently. State clearly whether the price can change and until when it is valid.
Can I add my logo?
Yes. Replace the shop-name placeholder with your logo and contact details.
Can customers approve an estimate online?
BenchPing supports an estimate decision on a private customer tracking page. The downloadable file records an offline decision.
